How VoiceFlow handles personal information.

VoiceFlow is designed so speech transcription can run locally on your Windows device.

Account data

We use account and usage data to operate VoiceFlow, manage subscriptions, and support customers.

AI correction

When you use cloud AI correction, text may be sent to the AI provider you select or configure.

1. Who we are

VoiceFlow is operated by TechBeez PTY LTD, ABN 39 646 532 621, based in Sydney, Australia.

This Privacy Policy explains how we handle personal information when you visit our website, create an account, use the VoiceFlow desktop app, subscribe to a plan, or contact support.

2. Information we collect

Account information, such as your email address, name if provided, authentication status, account identifiers, and plan status.

Usage information, such as word counts, transcription/correction history if syncing or history features are enabled, app usage metadata, timestamps, and feature usage.

Billing information needed to manage subscriptions. Payment card details are handled by Stripe and are not stored directly by VoiceFlow.

Support and communication information, such as messages you send us, troubleshooting details, and any files or screenshots you choose to provide.

Technical information, such as device, browser, IP address, logs, diagnostics, and security events used to protect and operate the service.

3. Voice, transcription, and AI data

VoiceFlow is built as an offline-first Windows app. Local transcription means your audio can be processed on your own device rather than being sent to VoiceFlow servers for transcription.

If you enable cloud sync, account history, analytics, or similar features, transcript text, corrected text, settings, usage counts, and related metadata may be stored with your account.

If you use a cloud AI provider for correction or formatting, the relevant transcript text and context may be sent to that provider so it can return corrected text. Your use of that provider may also be governed by its own terms and privacy policy.

We do not sell your voice recordings or transcript content.

4. How we use information

To provide, operate, secure, and improve VoiceFlow and the website.

To authenticate users, manage accounts, process subscriptions, and provide customer support.

To calculate usage limits, show account dashboards, maintain history features, and diagnose service issues.

To send service-related notices, such as verification codes, password reset messages, subscription notices, and important product updates.

To comply with legal obligations, enforce our terms, prevent abuse, and protect the rights, safety, and security of users and the service.

5. Disclosure and service providers

We may share personal information with trusted service providers that help us operate VoiceFlow, including authentication, database hosting, payments, email delivery, analytics, customer support, security, and infrastructure providers.

These providers may process information outside Australia, including in regions such as the United States or the European Union, depending on the provider and service configuration.

We may also disclose information if required by law, to respond to lawful requests, to protect against fraud or security threats, or as part of a business transfer such as a merger, acquisition, or restructure.

No internet-connected service can be guaranteed to be completely secure. You should use a strong password and keep your account credentials confidential.

We retain personal information for as long as needed to provide the service, meet legal and accounting obligations, resolve disputes, enforce agreements, and maintain security. We delete or de-identify information when it is no longer reasonably required.
